    <content type="text">There's a bug, functionality or doc: the page https://na6.salesforce.com/help/doc/user_ed.jsp?section=help&amp;target=reports_schedule.htm&amp;loc=help&amp;hash=d2411e427 says: "To email a report to other users, the report must be in a public folder with access granted to the other users." A public folder is accessible to everyone already, a folder "with access granted.." is called shared, which does not work (but should!!) with emailing scheduled report.</content>

    <content type="text">It would be great if we could email an updated report that we didn't have to wait to run either! Reporting is taking a painfully long time lately (5-6 minutes for one report under some objects), so it would be great to email a report that would run in the background, and be emailed once the report generation is complete. I would also like reports to be emailed in export details format or printable view format.</content>

    <content type="text">Many web browsers allow you to email web pages by choosing "File=&gt;Send Page by Email".  You might try that with your reports.</content>

    <content type="text">I was told that custom reports can not be e-mailed directly from salesforce. It would be very helpful if Salesforce can add a new feature that would allow users to e-mail custom reports directly from salesforce without having to export it first.

    <content type="text">If they aren't using computers, how do they want to recieve the dashbords?
Normally, they'd have logins, and their admins would log on for them would print out their emails containing the refreshed dashboard. Then, the management become one of those people who sits on a plane with 200 pieces of printed paper, making hand-written notes on each email for their admin to type back up and reply on their behalf. They might need logins, because the next request to their admins after looking at the dashboard is "get me a list of these deals".</content>

    <content type="text">I agree with Mneyer! Great idea! Like the naming convention idea!
Would be great if you could not only schedule a report to run but send it to users too!

Can currently schedule dashboards to refresh however the options are too restrictive. Every hour would be great!

I have found that uses dashboards are often very out of date which defeats the purpose of being real time - (it may a problem with our IT infrastructure but..) it also takes an age to refresh our dashboards...</content>

    <content type="text">I really like the functionality we have now, with the ability to schedule a dashboard to refresh at a certain time of day -- and then mail a copy of that dashboard to a select user list.

I'd like to see that same functionality extended to reports.  I have some executive users that simply refuse to log into the tool, and insist on their reports being delivered in Excel worksheet format to their mailbox daily.

I think I'd be able to get buy by simply presenting them the data in an HTML format in their mailbox daily -- so I'm really interested to see you take the current functionality of dashboards and extend it to reports!</content>

    <content type="text">The Spring 08 release "Schedule Refresh" feature is great for high-level visualization. However, some customer have the need to compare and contrast report data from week-to-week or month-to-month or quarter-to-quarter to see what has changed. The same type of Report Scheduling would be great -- to have scheduled reports sent as Excel files that can be compared more so than we're able to do in Salesforce today.</content>

We also know people want to be able to email a report, and that it's as important to many people as scheduling and emailing of dashboards.
When we do reports, the same options as for dashboards will be present.</content>

I was just wondering if anyone thought it would be a nice feature to be able to choose to have reports emailed to Salesforce users on a scheduled date and time.  I.e send the Sales Manager the monthly forecast automatically.

We provide a completely on-demand reporting service for salesforce, which includes distributing reports via email in PDF, Excel and Word. Reports with listings, charts and cross tabs can be developed via a Web based ad hoc report designer. Any data in salesforce can be accessed. As Franchise35 asked for, people receiving the report via email can drill through to the underlying salesforce information, like an Account, say.</content>

Surely a set number of refreshes based on the number of users aligns it with the $$ each customer is paying. Then it leaves the discretion with the user as to which ones and how often.</content>

    <content type="text">The ability to auto-email reports and dashboards (on a schedule) is an invaluable feature for executives.  People love the dashboard functionality of SFDC and people love getting stuff by email.  Put the two together and you have a winning combination.  If they could get a dashboard emailed to them and be able to drill into the underlying report from the email, that would be totally cool!!</content>

    <content type="text">Having the refresh configured at the dashboard COMPONENT level would be very useful, with the administrators having total control of how many concurrent refreshes could happen over any particular interval.  This would allow each dashboard maintainer the ability to decide how often something should refresh.  As we have seen with just these comments, some people say every time it is viewed, others say every 15 minutes, and others say once a month/quarter.  Having this as part of the dashboard component and/or underlying report itself would then make it completely configurable based on the situation, rather than a single blanket statement for all reports/environments/etc.  I can see how some sales reports might not need to update that often (perhaps once a day is okay), but a CS desk would want to have some of the critical metrics dashboard components update every 15-30 minutes, during business hours, and never after hours (for example).

Having an option to also email or, better yet, available for downloading with an obvious link (so people with particular boxes can do wget to copy it to a "behind the firewall" server) would also be immensely useful.</content>

    <content type="text">This is a great idea, but it would be nice to have an admin setting to refresh all of your reports once a day.  Or at the very least to define a list of folders and all dashboards within those folders would be refreshed daily.  I think daily is fine and if the user wants up to the minute reporting then they can click the refresh button.</content>

    <content type="text">It would be great if you could schedule Reports to be automatically delivered via email on a recurring basis.&lt;br /&gt;&lt;br /&gt;We have a weekly sales call where a team of sales &amp; marketing users discusses the current sales pipeline. While we all use the same report as the basis of discussion, inevitably people are all working off different versions of the data as the sales people update their Opportunities at the last minute, &amp; different people format/sort their data differently before printing.&lt;br /&gt;&lt;br /&gt;If we could set up SalesForce to email the latest version of the report to the team at the same time every week, we'd have 100% confidence everyone was looking at the same data arranged the same way, and it would be more efficient than people individually exporting &amp; formatting the report for printing.</content>

    <content type="text">Yes, yes, yes -- please develop a function to automatically email reports similar to the Update Reminder function.  It is easier to review a scheduled report via email than to remember to log into Salesforce and click several buttons before reaching the report and then having to click the refresh button - just simply too much trouble!  Also, allow the option to refresh within reports (have a check box for it with frequency choices).</content>

    <content type="text">When we first started using Salesforce, the dashboard was refreshed every time you went to the page, automatically.
Apparently that was too much for the fragile infrastructure, and now you have to click on the refresh button in addition to refreshing the page.
Unfortunately, many users forget to click on the REFRESH button, and make decisions based on inaccurate information.
If the infrastructure is still too weak to support dynamic refreshing, then at least provide SCHEDULED refreshing of Dashboards - allow the dashboard to be refreshed automatically at 2am, or some other time when the system is not over loaded.
This is the least Salesforce could do until they get their infrastructure corrected.</content>

    <content type="text">The time interval seems like a reasonable solution and it should be tied to the dashboard not the user. Some dashboards are relevant only on a daily basis while others would work on a monthly or quarterly basis. The refresh itself might occur when the dashboard is clicked so that unused dashboards are not refreshed unnecessarily. </content>

    <content type="text">I think the solution to refreshing dashboards is simple. Each dashboard should have a "Valid Age" or "Refresh Interval". The valid age field could allow you to refresh data monthly, weekly, quarterly, and would make sure that the data on the dashboard is relevant within its own particular time frame. The dashboard would refresh only when used if data was older than age or interval specifed reducing unneeded refreshes on unused dashboards.&lt;br /&gt;&lt;br /&gt;And each dashboard should have a subscribers list of users (maybe contacts??) that get the dashboard "pushed" to them in an email on the scheduled refresh interval. </content>

    <content type="text">A good feature would be the ability to schedule the update of reports via the GUI and have the system automatically email the generated results to selected users and other email addresses.</content>

    <content type="text">Emailing is definately more important to our company than the constant refresh.  It seems to me that a constant refresh on all reports/dashboards would use a lot of resources...  I wouldn't want to see a decrease in system performance.</content>

    <content type="text">Actually, we consider them part of the same initiative. 1) The ability to schedule the refresh of the dashboard, and 2) the ability to schedule the delivery of dashboards and reports (with links back to Salesforce) to people via email. The scope and timing of this is still being determined, but it's clear from this discussion that is a high priority. As you've also seen from the comments above, some of our partners can provide this type of functionality today.     <content type="text">I strongly agree with the need for scheduled emailing of reports to a predetermined list.  We have a critical need to share Salesforce Reprots with non-users.

This posting seems to be a combination of two unrelated items - dashboard updates and emailing of reports.  Should be split.</content>

    <content type="text">There should be a function where you can schedule reports to be sent out to external email addresses as well as internal. You should be able to chose how the person recieves the report in the email whether they would like it web based, pdf, excel, word etc. Also able to give the email that is being sent a subject heading. With the scheduling should be given choice if they would like the report either everyday once a week, once a month etc and at a particular time in the day. Differnt template styles should be used as well and be able to customize this to suit your company. The reporting system at the moment needs to be improved as very limited at what can be done compared to other systems I have used.</content>

    <content type="text">Auto updating dashboards nightly would be sufficient for us -and very helpful. I get a "something's wrong with my dashboard" call every week! Also the ability to auto refresh and email reports would be nice -right now I manually email a handfull of reports to our management team weekly.</content>

We currently utilize dotted line reporting to manage remote teams in EMEA and right now, the update reminders are only sent to direct reports.  If we could replicate this in a schedule report run with a set recipiant list, that would resolve a mission critical process issue for us.</content>

    <content type="text">As a manager for a Customer Service team I think the ability to schedule reports so that they are run automatically is a must.  Additionally, having the option to set a naming convention for the output files and the option to append the data to an existing report would help immensely.&lt;br /&gt;&lt;br /&gt;Example:
&lt;br /&gt;I have a web based report that is accessible by executive management which outlines general Customer Support metrics (1st call resolution, average time to close, cases per rep, etc.).  Ideally I'd setup sections of this document to refer to specific reports generated by SalesForce and stored on my network.  The reports would run automatically, append updated information to the existing report (since I chose that option), and my web based report would be automatically updated for review by executive management.</content>
