Define Workflow trigger Rule Critera using a Field Value OR Formula

The Workflow would be more useful if the Rule Criteria used to establish when an action needs to occur could be defined using either the existing field-specific values, or using a formula.

Using a formula, workflows could be triggered when:

- the value of a field is changed i.e. using 'ISCHANGED);
- the values of two or more fields are compared i.e. if FieldA= FieldB
- the prior value of a field is the trigger i.e. using PRIORVALUE

Currenltly this functionality is available later in the process, but only on Update Field, and only on text or number field updates. It enables you to add more detailed conditions. The proposed functionality would move add these conditions to the start of the process and enable tasks, emails and other field updates (e.g. checkbox, picklist) to be triggered with the same detailed conditions.

RichGottesman 06/04/07	Salesforce tech support confirms the obvious that there is no way to set a workflow rule based on one column being set equal to the value of another column. Or checking if one column value has changed on an edit? Quite basically, I am trying to set a date anytime the Opportunity "Amount" field changes, so I don't care what it changes to, but ANY change to this SPECIFIC column is something I want to capture by setting a custom datetime column (to now() ). I find it stunning that Salesforce, as powerful as it often is, doesn't have simple workflow criteria like comparing values to other columns or querying if a column changes on an edit. This idea is a very important suggestion, but it's already a month old and seems like it's not getting enough visibility. To me this is not something that should be considered an "enhancement" on this IdeaExchange but moreso a non-discretionary functional (accidental) gap in workflow functionality, overlooked I'm sure by the product managers at Salesforce. If we wait for IdeaExchange to gather enough points for this to be considered (plus the time to develop, QA, and release) Salesforce workflow processing will have missed the boat.
msnowden213 06/04/07	I agree, this functionality or current lack there of is incredibly frustrating. Being able to create formulas through several functions and features of the system would be very helpful.

If ISCHANGED(General_Email__c) then I want to update the General_Email_Status__c field to "U" and the General_Email_Date__c field to NOW(). This is currently not possible with Workflow Formulas and Workflow Field Update command.
hemm 06/14/07	Merged Comment originally posted 05/08/07 Please allow for a comparison operator of IS CHANGED to be included into the Workflow Rules. Currently, you have to specify a specific value. This is a problem in some cases. It would be great to not have to specify the future value, but only need to tell the system to perform the task, alert, field update and/or outbound message when a value is changed.

Opportunity History does not pick up all the changes we want. I just asked SFDC about this and was directed here. It would make life so easy. We're considering a custom formula field on our opportunity that could be a work around.

Try this: 1) Create a text formula field on the opportunity (or other record) as follows: IF( {!OwnerId} = {!LastModifiedById} , "Yes", "No") This formula can be used to send a workflow alert to the record owner, and it need not be shown on any page layouts. The formula simply returns "Yes" if the record was last modified by the owner, otherwise it returns "No." 2) Create a workflow rule on the opportunity that is evaluated whenever the record is edited. Add a rule criteria testing for the formula equal to "No." 3) Create a notification email template and send an alert to the record owner using the template. Add in any details from the changed record that you like. (Note: the alert itself won't show the changes to specific field values. You can identify this information on certain objects where change history is captured, i.e. cases, leads, contracts, opportunities, and this functionality will be extended for custom objects in the Winter '07 release.)
rbodo 07/11/07	Visibility into the movement from one sales stage to the next is a very basic need for sales and support management. Without the functionality this feature provides, it's nigh impossible to accurately record the dates of such movement. What we need to measure is the number of opp/cases/leads that changed from state A to state B this week, as well as the number that have been in state C for over a month. It doesn't matter so much to us when the entire table was last modified, or when the opp was changed to closed. I suppose it's easy to leave activity out when you don't use log files, but I was very surprised to find this feature in the ideas section of salesforce.com. I hope this gets implemented quickly.
mdhupar 08/17/07	The "Check Syntax" for this formula in the Screenshot has not been done or this formula has not been saved. System only allows to save a formula using ISCHANGED if the option "Every time a Record is Created or edited" is selected unlike the one shown in screenshot.
