Login As....any role, any profile
It would be excellent if administrators could login as any user role and profile combination to test out settings directly in the production environment.
This is similar to the functionality currently available where one can login as a user however
1. You wouldn't need to get the user to grant you access
2. You could test out role and profile combinations not yet assigned to a user
This would be extremely useful for verifying that users have visibility and functionality that they require BEFORE they complain that they don't have it.

VERY VERY useful. It would also eliminate the need to setup fake users to test things before rolling out roles & profiles. That eats up licenses today. |

I agree - this would be extremely useful and efficient. |

This would shorten our testing cycle and ensure data is managed correctly. V V useful |

Extremely useful. Alternatively, give administrators the ability to easily switch roles from the UI with perhaps a Role dropdown under the Application listbox. |

Great idea. Maybe there could be an org-wide setting to enable this, or alternatively to keep it more user-private as it is now? (in case teams have concerns about administrators logging in as them) I'd be interested to hear if anyone has a true business case for the more user-private model, or if wylieatworknz's method could become the default for sys admins. |

We use a vendor for our Deal Registration where you can simply click a "Login as XXX User" link from the administration screen. So, in SF speak, in the Action column of the All Users page, there would be a link that reads "Login" or something similar. Clicking the link would pop you into the User's Account as if you logged in as the User. It has proven EXTREMELY useful in the application we use for testing new rols, profils, etc. |

Would be a dream come true. Getting login access from users so you can see what they see requires reaching out to a particular user first.. that takes time and effort and requires that the user respond (which is impossible sometimes).....be able to have a back-door to peak into how things look/feel for particular profiles and/or roles would be a REALLY great tool for validation purposes. |

This is an awesome idea. It is hard to see the items in salesforce as the appropriate teams see them. |

Love this idea. I don't even care about the role and profile selection. Just being able to log in as one of my users w/out the hassle of contacting them to have them grant it to me would be a HUGE timesaver! |
|
ClintProd 03/08/07 |
Please add this. As an administrator, having to ask users to grant access is very time consuming and a real pain when trying to support users. |

This is currently available Partner Relationship Management (PRM). Channel managers can "login as" a partner to see how their portal experience. It works great to troulble shoot in the channel world. |

We had the same problem so I simply asked one user from each profile to grant me access, then when I went in as them I extended the access for 1 year :-) just a quick fix until this is a feature |
|
rflan 03/20/07 |
Completely agreed! I've always wondered why the system admin, who already has access to all data, couldn't do this. |
|
Pepe2007 03/21/07 |
This would be great and solve a lot of problems I have as an Admin. As stated above, I wouldn't have to contact a user and wait for them to grant me login if they have a problem. Also, it would help with testing any new setup as SFDC does not supply any free test users. I would suggest it be org-wide and set up similar to the screen shot above, but, I would suggest just allowing a selection of which profile and role you want to login as. I'm not sure I like the idea of having all the other fields such as username, email and alias available for everyone. Then users can select which role and/or profile they need to login as. I think this should also follow the basic securtiy settings so that users have access to login as their role and any subordinate roles only. I see the ability to change time zone settings on the login page very beneficial as well since we have a National Sales dept that creates events for Sales Reps all over the country and SFDC cannot currently accomodate this...they could log in under the same time zone as the Rep they need to schedule an appt for this way without needing a "cheat sheet". |
|
AdminTed 03/23/07 |
NetSuite allows this and the time that it saves for an Admin is HUGE. Salesforce could make a lot of vocal, mega-users very happy by allowing this architecture. |
|
hemm 04/11/07 |
An easy way to do this would be to always allow the Admin to login as a user without that user having to grant them access. Just have the login link there at all times. The Admin can see all of a user's data anyway. Why does the user need to grant permission to login as that user? |

Default view for System Administrators
Enable a default, read-only view for administrators to login and view Salesforce via a specific user login, without requiring the user to go through the process of manually granting access to the administrator.
This would greatly improve the support service for larger enterprise companies. |

Definitely needed. This is a standard feature in another CRM, and should be in this one. |

Administrator: User and Role Perspective testing
It would be very helpful if Administrators had the ability to view the system from the perspective of another User or Role to test security, sharing settings, access, etc. This would prevent me from changing a setting and then looking for a user to test that change for me, or allow me to test it from their computer.

I believe that setting is only to allow SFDC support people access to your account/data for troubleshooting purposes. I would like to be able to view one of my user/role's perspective of the system to immediately test access changes, security settings, sharing rules, etc.

Yes, PerGeert, it's available now. I have several users who have granted me log-in access, that way I, as the Sys Admin, can go in under their sign on and see exactly what they see.

I believe that this functionality is based on SalesForce Edition, Professional vs. Enterprise. The Enterprise version of SalesForce has this option, Professional does not. Our sister company is on Enterprise, and I have seen the functionality, but not currently using it, as our side of the business uses the Professional edition of SalesForce. Would also love to have this functionality, as I deal with many outside reps and it would make it extremely easy for me to make edits to the users screens with their access.

This feature would be also extremely useful when I train a group of users. Normally I have to ask our admin to change my profile every time I want to prepare myself for a training or during the training itself. |

I don't want a specific user to have to grant me login privileges. I would then have to ask at least one user from each profile to do this in order to achieve what I am asking for - being able to login as a particular profile. (incidentally - that IS what I've done). I would prefer to just have the ability to login as a profile. |

Can't you have your users grant you login access? That's what I do when I set up new users; they are required to grant me login access.

Granting access is not the best option as different timezones delays the process. Best way for an administrator will be to have an option to login as any role

Other systems allow 'impersonation', where a system admin is given a picklist of users and selecting a user will practically log the admin in as that user (while behind the scenes the system remembers that it is the admin). This is good for both administration and centralized support, where the effects of changes can be seen.

Having a user approve that you log in as them is good karma. If you have effective communication where you work then you should let everyone know of this feature when you launch SFDC. Builds a level of trust between the user community and the Admin team.
It's also pretty much a snap to setup a new "test" user and assign them the profile and role you want to "test" out. |

While asking a user for login access maybe the "politically correct" way to get access to assist a user, it is not always timely. Also, how can you require a user to grant the login access to system administrators.
There are legal implications to some of the modifications system administrators are required to make to user settings, for example, adding e-mail disclaimers for foreign offices, which requires the admin to be logged in as the user. Depending on the users to make these changes simply adds yet another task to already burdened sales or marketing professional that a system administrator could do as part of user set up with two clicks. |

I would go a little further to give the flexibility to the SysAdmin role to even delegate that responsibility to be able to login as any role to other folks in the user list for eg the support reps can be assigned that role to login as any role or as any user. Make sense?

This is good but even better - there should be a profile permission for "Auto Grant Admin Login Access" and any user in a profile with that checked will automatically give the admin login permission. Then you can truly troubleshoot an issue for a real user in addition to easily logging in to a Test User account without the step of granting access from the Test Users login. |
|

I like this idea, and might take it one further. I'd like to the ability to give admins a default alternate Profile. So when they log in, they'd be given permissions according to that profile. Then if they really need to do an admin task, they could (possibly temporarily) elevate themselves to admin permissions. Maybe a link: "Activate Administrative Features" or some such. Sort of like a sudo command. I am a consultant working mostly with small non-profits. In that sector, the admins are generally not IT staff, they have other jobs to do. They spend 90% of their time in SF doing regular user, non-admin stuff. But since they've got admin logins, I can't give them the same user experience as their colleagues. In many cases, having read-only fields on layouts would make their lives easier most of the time, not harder. etc. So I'd like a way for them to be treated like a regular user 90% of the time, and only like an admin when needed. |

Administrators could login as user, as long as the user give rights to do that. This feature is interesting but limited. Entering as user could allow administrator to see what the user sees, but administrators cannnot do changes without affecting the user history or activity trakcing or performance. It could be nice to login as an user and do changes without affecting in any way its history and sales performance. |

This feature would make life a lot easier for Admins. Please make this available, can't imagine that it would be to difficult. Or do you count on the money that probably not only my company is paying for using licenses for fake users ;-) |
|
shahinatcars Mar 5 |
Salvador brings up a good point - currently I have a test account dedicated to this purpose which eats a license. It would be great to test my changes without that required license(though the user "Tester Testington" draws snickers anytime I use my test account for a presentation). |
|
tz Mar 11 |
Would save time and could make life easier for Admins. Any statement from SFDC if this could be provided with the next release? |
|
msmith777 Mar 11 |
salesforce is probably holding this back to get additional users to purchase that one additional license needed as a "test" license...I can't imagine them giving up that additional revenue stream... |

I have to agree with the many people who have contributed to this thread. I cannot fathom why system administrators have not been given some method to view what a standard user or user within a role would see without having to hijack a lower user's account to see it. Since the whole point of having seperate user accounts for every individual in the organization, with secure passwords even the administrator cannot see is to accurately track what each user DOES in the system. I suppose you could set up an additional account for testing and pay SF the fee, but its really not worth it for the amount of times you will actually use that account. Granting access to a disgruntled system administrator to your standard user account could result in the lower user's records being modified and in a large organization, causing them to get fired or repremanded in a worst-case scenario. As much as I really like Salesforce, and have recommended it to many companies, there are a handful of pet peeves that boggle my mind that the developers of SF failed to include in the system, or decided they could wack ya for more loot to have them as part of your system. This is one of those issues for me. I've been using Salesforce on and off for the last 5+ years and items on my list from 5 years ago have been ignored or not addressed, so I wonder if this one will ever be addressed. |

There are a number of features being suggested here that we need to break down into enhancements for how we handle login access. We're currently looking into all of the requirements for this feature set including how we handle tracking changes while logged in as another user. Stay tuned! |
