Customize stay-in-touch form
Is it possible customizing the stay-in.touch form? I'd like to add fields to the information to be updated as Industry and No. of Employees.

not sure if there is a solution to this, but i too need to customize the fields that are automatically entered into the contact stay-in-touch form as well? is there a place where that template can be edited? |

Same here. We have to build a custom interface that performs a similar function. It would save us a lot of time in custom development if we could add custom fields to this form in SFDC. |

It would be fantastic to customize the form so that a consulting firm could email folks to update their consulting resume. I have created a custom app that does a mail merge to word for a consulting resume that is sent out to client project managers for prior approval. |

I really like the "stay in touch feature" and have just uploaded my 600+ contacts (some of which are stale) into salesforce.com. I need to go out to these people to find out who is "still there" and I want this mass emailing to have maximum impact. To do this I have 2 concerns about the tool the way it works now 1) in the email that goes out to the contacts – you can customize the text and your signature in the email but NOT the graphic. There are email templates for every other type of mass emailing in salesforce.com that allow you to do custom html, insert logos, etc. I really want the graphic with the 2 people doing the handshake to go away and ideally replace it with our company logo that I have already uploaded to the portal. I am afraid that people will see this email graphic and think that they are going to get spammed with a lot of marketing email from us (which is not the case) 2) when they click on “update” button in this email they receive – it takes them to a web page on your server where they see all the fields and can update their info as well as add additional info. When they get this page it says “powered by salesforce.com” and has a salesforce.com logo on top. It says in fine print (you are updating this for x@x.com but doesn’t say my name or my company's name). Again – I have similar concerns that they will think they are going to get hammered with sales/marketing info especially if they don’t know what salesforce.com is……. And also I want to be branding my company – not yours! |

I agree with this comment. You should be able to customize the stay-in-touch template just as much as you do any other email template. |

It would be so helpful if we can customise the Stay-In-Touch feature. It's a great feature but we do not adopt it in out company as our customers and partners expect to see these sorts of communication as our company brand, not Salesforce.com. The quality of data can improve so much by allowing our customers/partners update their own information, and because it's automatically fed back into Salesforce.com, we would save so much $$'s in having people do data entry and vetting before mass loading back into the database.. *sigh* |

Agreed great feature. But unusable in it's current form. Aside from the afront of including the SFDC logo (with no option to change it) asking for my customers home phone number is inapproproate at best. Sure we have some, but we didn't demand it. I would hope to see the ability to chose the fields and add my logo and remove SFDC's in a release very soon. |

Great suggestion! Also, the stay in touch email should be made compatible with Lotus Notes (the formatting looks really bad in a LN email). Would be good as well if one could change the recipient of the stay in touch email to allow users to send the contact details of a person to someone else (or themselves) by e-mail. |

Very good idea, we would like to use account level data, as we have regulatory obligations to ensure that we are up to date with their requirements and standing data etc, and this would be an excellent way of doing it. Also, rather not have SFDC logo (much as we love them). |

We also need the following: 1) Use fully customizable and brandable email templates! 2) Ability to prevent users from changing/switching the email template 3) Include more fields 4) Customize and brand the page the user submits his data at. Without those, it's not usable for us. |

I love the Stay in Touch feature but feels it needs the flexibility to use custom fields from all objects including custom objects. Currently it contains very general fields and I use it mostly for email verification. |

Stay In Touch Request - Customizable Setting for Updating Specfic Contact Fields
From a contact record, there's a feature that allows you to "Request Update" from the contact. This feature is usefule so long as you have the email address and some basic information on the person you're requesting the update from. The "Stay In Touch Settings" need to be expanded to allow the configuration of what you would like your contact to update when they receive the email request.
The "Stay In Touch Note" and "Stay In Touch Signature" are customizable as far as the content, but when the contact on the receiving end clicks on "Update Now," the page that appears should display the fields that you as the user have configured to be the fields that require updating. For example, if you send the "Stay in Touch Email" you should be able to choose the fields (whether they are Standard or Custom) that you would like the person to update. This could be useful if you have a client base of 100+ organizations with 3-10 contacts at each. The types of communication you would want to send to the 3-10 people could vary based on their department or role. For example, your contact in the organization accounting department may not want to hear about the New product offerings but someone in the business development department might. If you have these "Communication Types" created as Custom fields on your contact record, you should be able to include them as the fields that your contact would update when they open up the "Stay In Touch" email. As already designed, the accepting or rejecting of the updates would work as normal. I can see this being useful across all kinds of communication through the Stay in Touch utility. |

RikvdW: I checked also and did not find the idea you have posted. I was surprised that this idea was not already in the system. The search for "Stay" probably did not work because of the "Stay-in-touch" as sent in by 22655.

Specify which fields you want the client to update using the Keep in Touch facility
When you use the 'Keep in Touch' feature the fields that you request that the client updates are not configurable. It would be useful if this were possible. for instance we do not want to ask for the client's home phone number.

While we are offering changes to this feature, I would like to add that we give the our contacts the ability to verify and update custom fields and then allow us the same auto-import feature for the existing keep in touch request. While also selecting information that they will even get send to review and update from the current model.

Can you please change the title of your idea from "keep" to "stay" in touch. There are new posts about the same feature. I suspect when users search for "stay-in-touch" your idea does not come up. |

Regarding the Mass Stay in Touch wizard. I want to get the data fields on my contact records updated in to the main body of the email. I have written the notes and I have added a signature but the section that is showing as ‘Current Information’ does not give me the data fields I want and I do not appear to be able to change them. What I am being offered as default are not useful to me and are not the type of information our customers would expect to provide.

The character limits for the Default Stay-in-Touch Note and Default Stay-in-Touch Signature is 512 characters. Is there any way this limit can be expanded to 1024 characters or more.

I agree with all the comments given so far. It does not make sense how this feature is not able to be customized to our individual company needs. It is a wonderful feature, but because it is not able to be customized it may be something that I will not be able to use at this time. |

Salesforce you give us so much and yet all this time was put into hardcoding the Stay in Touch without letting us change the picture of two people shaking hands to our company logo? Why not have this stay in touch picture in our documents section so it can be changed. Better yet have the top part as an email template. Let us update what the page looks like when they click "update now". Why in the world would someone want to update there contact information if it looks like another company that is using it. Not everyone knows what Salesforce is. Making up a email template that pulls the information about that contact and asking them in the email template to reply and update the information below is more responded to then clicking the request update button. The draw back is adding that info manually but in the end if you don't get anyone doing the stay in touch this is a huge improvement in contact database updates. |

Since I couldn't customize the Stay In Touch. I made a email template that pulled the contact details I wanted to pull into the template from the contact detail page. Instead of going into the contact detail page and clicking the "request update" button I disabled this and put a new button that says Request Update Template. When clicked it goes to "send an email" and auto selects the template to request an update. Click send wait for them to reply. Here's some more details on this so others can do this. I've done this by going into Setup | Customize | Activities | Task Buttons and links | NEW Label: Request Update Template Name: same Display Type: List button Behavior: Display in existing window without sidebar or header Content Source: URL BODY of code: https://na3.salesforce.com/_ui/core/email/author/EmailAuthor?p2_lkid={ ========== **Make sure to change the server na3 to your server. **Make sure to get the ID of your template. Place that after template_id= **If your adding this to the lead page change {!Contact.Id} to {!Lead.Id} Now go to Setup | Customize | Contacts | Page Layouts Edit page layout Scroll down to Activity History at the bottom found in the Related List Section. Double click it. In new window move the button over to Select Buttons. ========== For a quick look at some data fields pulled: You can put a picture in this HTML email by putting a picture in your documents section. Make it external. After saving right click on the picture and click properties. Now copy the picture URL and use some HTML IMG tag along with the URL to add it to your HTML email template. The signature that each person has in there profile is only used for text documents so you will have to make a signature within the template. As you can see this one changes per user. Great idea. I thought of pursuing this avenue myself, but it does not satisfy the salesforce-provided capability for the contact to update their data and allow me to selectively accept their changes. I am looking at completely replacing this capability and stage it on our customer extra-net. |

This is a great idea. I would use this feature in a different way. I would like my Executives to see records in a more presentable fashion. I would also like them to be able to update/comment on an Opportunity without logging into SF. Execs don't want to learn SF. |

I love the idea of the Stay-in-Touch feature, as it seems so many others do as well. I'm disappointed that I am not able to customise it with our own logo, at the very least, but would also like to be able to add a graphic signature section and choose which fields I would like my contacts to update (including custom ones, if we so choose). I'm unlikely to use this while the shaking hands persist at the top. |

I, too, am wrestling with the limitations of the Stay-in-Touch feature. My test emails are delivered with the grayed background form showing current values for some of the fields we capture and field names such as Department, Assistant and Assist. Phone, ....values that are not relevant in our organization. This is very confusing for our non-profit membership when we are updating, for example, emergency contacts. Does anyone have an idea how these non-relevant fields can be removed from this form? TrevorL - per your short tutorial - how can I find the name of my server and the template ID? |

Do a search for "stay-in-touch" in ideas and there are about 10 posts all asking for the same thing. Merge these together and this would be a very highly rated request. Amazing that out of all the posts, I only saw two SFDC replies. Why is this being ignored?? Great tool for data quality - never used because it is embarrassing. It would also be good if this could be a code snippet for our website and URL so we don't have to let our customers know they are being sales(forced). |

Note for IdeaExchange Support: Seems that "Search Ideas" is not working correctly anymore in IdeaExchange. When I do a search on "stay" I only get 2 hits, and idea 22655 is not included!
