Scheduled and Emailed Reports & Dashboards
I want the ability to schedule the refresh of a dashboard or a report.
The report results would be stored (so users can see the refreshed report online immediately).
Also, the Report or Dashboard could be scheduled for delivery by email to specified users or groups.

I would like to add a subtly: I would like the ability to set a limited number of dashboards to update on a frequent (e.g. 15 minute) basis so that they provide the real-time view on critical data that is sold in presentations. I understand that this cannot be done for ALL dashboards in the system otherwise it would grind to a halt, but allow each org a certain number of dashboard update credits that they can use, so each update = 1 credit. This was they can either update 1 dashboard very frequently, or a set of key dashs less frequently. |

This is long over due. I have less capable users that forget to refresh the data and look at the same dashboard for weeks or months before they realize what is wrong. It is always the same phone call. "I made changes, but the dashboard stays the same" in a very annoyed voice. "Hit the reflesh button." "OK, but there is still no change" "Not the IE Refresh, the Dashboard Refresh" "Where is that?" "On the far right on the "View Dashboard Line" "Oh yeah, I forgot. That did it." "Same time next month?" |

This is a great discussion. It has mostly focused on the ability to schedule the refresh of dashboards. There was a good comment made about the use cases for real-time dashboards. Do people have use cases for truly real-time CRM dashboards? "Real time" in some organizations means refreshed daily. The next comment made it sound like more of a user interface issue. This idea can actually be broken down into 3 - scheduled dashboard refresh, scheduled reports, email delivery of dashboards and reports. What do people see as their top priority? |

There are 2 major use cases for Dashboard refresh (more but these are broad) 1. Constant refresh – Ex: Call Center needs to see what is in the Queue and stats on all users and rate performance. 2. Scheduled refresh - .Ex: Daily stats or to refresh from batch loads at night. You could probably write a s_control to do the batch on a daily or hourly basis. The harder one is the constant update. This again could probably be done through some monitoring process, not sure how to do this native in SFDC. I have heard about a new process in the next release that would all work flow to be triggered on a value, and not just when the record is edited. This may be adaptable to work to update dashboards. Ex: Call center – Gas gauge of all cases in Queue more than 5 min. This would be constantly changing, but you need to be able to shift cases around quickly, so needed. If the new workflow comes to pass, and goes beyond the basic alert to trigger other items... mmmmmm. We will have to see. |

As a take off on this thought, currently there is the weekly "Update Reminder" email that is available to be sent out, but it would be wonderful to set up a distribution list and a schedule of a set of reports or dashbaords to be emailed ("pushed") out to a set of key users. As great as the Reports tab and Dashboard tab are, sometimes there is just too much information out there and lets face it, Sales Managers/Directors get distracted with other priorities if key reports are not pushed back at them in email form. |

We've got this need as well where our executives could really benefit from some consistent reporting that gets sent to them via email. If you think about it, Salesforce already does this using their Opportunity "Big-deal" alerts. If you've ever used those, you get the HTML content in an email as a report. If SFDC can open that same functionality up to its users, it would benefit a lot. Also, it shouldn't be that hard to do if they are already doing this with the big-deal alerts! |

We are a software house with about 70-120 projects currently running. We send reports each week or month depending on client/project to each client showing them the open cases from our existing project management system. I'd like to move this onto salesforce if it could be automated and the filters could be automatically set at the account or project or contact level or report level. |

Would people prefer a quota schema that let you do X refreshes of a dashboard per user per day (knowing that many people look at the same dashboard, so shared dashboards could be refreshed using the quotas of users viewing the dashboard) or unlimited refreshes, but not during business hours in your time zone or refresh packs like the storage product that can be bought or limiting any dashboard to no more than Y automatic refreshes a day |

I think the ability to auto-email reports is even more critical than the dashboard refresh. Higher-ups in our org don't want to have to remember to log in to SalesForce to check reports, since many don't use SalesForce for any other reason. |

As a manager for a Customer Service team I think the ability to schedule reports so that they are run automatically is a must. Additionally, having the option to set a naming convention for the output files and the option to append the data to an existing report would help immensely. Example: I have a web based report that is accessible by executive management which outlines general Customer Support metrics (1st call resolution, average time to close, cases per rep, etc.). Ideally I'd setup sections of this document to refer to specific reports generated by SalesForce and stored on my network. The reports would run automatically, append updated information to the existing report (since I chose that option), and my web based report would be automatically updated for review by executive management. |

We currently utilize dotted line reporting to manage remote teams in EMEA and right now, the update reminders are only sent to direct reports. If we could replicate this in a schedule report run with a set recipiant list, that would resolve a mission critical process issue for us. |

There should be a function where you can schedule reports to be sent out to external email addresses as well as internal. You should be able to chose how the person recieves the report in the email whether they would like it web based, pdf, excel, word etc. Also able to give the email that is being sent a subject heading. With the scheduling should be given choice if they would like the report either everyday once a week, once a month etc and at a particular time in the day. Differnt template styles should be used as well and be able to customize this to suit your company. The reporting system at the moment needs to be improved as very limited at what can be done compared to other systems I have used. |

Actually, we consider them part of the same initiative. 1) The ability to schedule the refresh of the dashboard, and 2) the ability to schedule the delivery of dashboards and reports (with links back to Salesforce) to people via email. The scope and timing of this is still being determined, but it's clear from this discussion that is a high priority. As you've also seen from the comments above, some of our partners can provide this type of functionality today. Emailing is definately more important to our company than the constant refresh. It seems to me that a constant refresh on all reports/dashboards would use a lot of resources... I wouldn't want to see a decrease in system performance. |

I think the solution to refreshing dashboards is simple. Each dashboard should have a "Valid Age" or "Refresh Interval". The valid age field could allow you to refresh data monthly, weekly, quarterly, and would make sure that the data on the dashboard is relevant within its own particular time frame. The dashboard would refresh only when used if data was older than age or interval specifed reducing unneeded refreshes on unused dashboards. And each dashboard should have a subscribers list of users (maybe contacts??) that get the dashboard "pushed" to them in an email on the scheduled refresh interval. |

Of course everyone wouldn't want auto updating dashboards... but it would be great to have the option to set it to auto update at specicfic intervals for those that desire that. The ultimate enhancement to me would be to have it run the last second before month end and have the snapshot available in an arvhive for future reference.

The time interval seems like a reasonable solution and it should be tied to the dashboard not the user. Some dashboards are relevant only on a daily basis while others would work on a monthly or quarterly basis. The refresh itself might occur when the dashboard is clicked so that unused dashboards are not refreshed unnecessarily.

Bring Back Automatic Refreshing of Dashboards
When we first started using Salesforce, the dashboard was refreshed every time you went to the page, automatically.
Apparently that was too much for the fragile infrastructure, and now you have to click on the refresh button in addition to refreshing the page. Unfortunately, many users forget to click on the REFRESH button, and make decisions based on inaccurate information. If the infrastructure is still too weak to support dynamic refreshing, then at least provide SCHEDULED refreshing of Dashboards - allow the dashboard to be refreshed automatically at 2am, or some other time when the system is not over loaded. This is the least Salesforce could do until they get their infrastructure corrected. |

Yes, yes, yes -- please develop a function to automatically email reports similar to the Update Reminder function. It is easier to review a scheduled report via email than to remember to log into Salesforce and click several buttons before reaching the report and then having to click the refresh button - just simply too much trouble! Also, allow the option to refresh within reports (have a check box for it with frequency choices). |

We have a weekly sales call where a team of sales & marketing users discusses the current sales pipeline. While we all use the same report as the basis of discussion, inevitably people are all working off different versions of the data as the sales people update their Opportunities at the last minute, & different people format/sort their data differently before printing. If we could set up SalesForce to email the latest version of the report to the team at the same time every week, we'd have 100% confidence everyone was looking at the same data arranged the same way, and it would be more efficient than people individually exporting & formatting the report for printing. |

This is a great idea, but it would be nice to have an admin setting to refresh all of your reports once a day. Or at the very least to define a list of folders and all dashboards within those folders would be refreshed daily. I think daily is fine and if the user wants up to the minute reporting then they can click the refresh button. |

Having the refresh configured at the dashboard COMPONENT level would be very useful, with the administrators having total control of how many concurrent refreshes could happen over any particular interval. This would allow each dashboard maintainer the ability to decide how often something should refresh. As we have seen with just these comments, some people say every time it is viewed, others say every 15 minutes, and others say once a month/quarter. Having this as part of the dashboard component and/or underlying report itself would then make it completely configurable based on the situation, rather than a single blanket statement for all reports/environments/etc. I can see how some sales reports might not need to update that often (perhaps once a day is okay), but a CS desk would want to have some of the critical metrics dashboard components update every 15-30 minutes, during business hours, and never after hours (for example). Having an option to also email or, better yet, available for downloading with an obvious link (so people with particular boxes can do wget to copy it to a "behind the firewall" server) would also be immensely useful. |

The ability to auto-email reports and dashboards (on a schedule) is an invaluable feature for executives. People love the dashboard functionality of SFDC and people love getting stuff by email. Put the two together and you have a winning combination. If they could get a dashboard emailed to them and be able to drill into the underlying report from the email, that would be totally cool!! |

Check out Jasper4Salesforce on the Appexchange. We provide a completely on-demand reporting service for salesforce, which includes distributing reports via email in PDF, Excel and Word. Reports with listings, charts and cross tabs can be developed via a Web based ad hoc report designer. Any data in salesforce can be accessed. As Franchise35 asked for, people receiving the report via email can drill through to the underlying salesforce information, like an Account, say. |
